About The Position

The Recovery Hub Office Coordinator at the Recovery Hub provides day-to-day operational coordination and administrative support to ensure the Hub runs smoothly, safely, and in alignment with PRN’s mission and values. This role supports the Hub Manager by coordinating office systems, managing administrative processes, welcoming participants and visitors, and helping maintain an organized, responsive, and healing-centered environment. The Recovery Hub Office Coordinator operates with professionalism, discretion, initiative, and strong attention to detail while overseeing program expenditures, supply requests, and class materials. This position provides logistical and administrative support for daily operations, including communication, scheduling, record management, and administrative follow-through to ensure efficient and effective program operations. The Recovery Hub Office Coordinator reports directly to the Regional Director and works in close partnership with the Hub Manager to support the daily operations of the Recovery Hub.

Responsibilities

  • Coordinate daily office operations for the Recovery Hub, helping ensure the space is organized, welcoming, well-supplied, and responsive to participant, staff, and visitor needs.
  • Provide administrative support including scheduling, correspondence, meeting preparation, documentation, and follow-up on assigned tasks.
  • Serve as a primary administrative point of contact for the Recovery Hub, supporting clear communication among staff, participants, partners, vendors, and community stakeholders.
  • Maintain office files, records, and other administrative systems in an accurate, timely, and confidential manner.
  • Support scheduling and logistics for Hub activities, meetings, trainings, groups, community events, and day-to-day programming needs.
  • Monitor equipment, facility needs, and routine maintenance issues, coordinating with the Hub Manager and appropriate vendors or internal teams as needed.
  • Assist with onboarding logistics, staff schedules, timesheet reminders, purchasing requests, expense documentation, and other administrative processes that support Hub operations.
  • Prepare basic reports, communications, flyers, meeting notes, and other materials to support Hub operations and organizational priorities.
  • Promote a respectful, trauma-informed, peer-centered, and recovery-oriented environment for everyone who enters the Recovery Hub.
  • Support special projects, operational improvements, and other duties assigned by the Regional Director.

Qualifications and Experience

  • Demonstrated experience in office management, administrative coordination, operations support, or a similar role.
  • Strong organizational and time management skills with the ability to prioritize and manage multiple operational and administrative needs in a fast-paced environment.
  •  High level of professionalism, discretion, and ability to manage confidential information and sensitive interactions.
  • Excellent communication skills, including the ability to provide clear, respectful, and timely communication with staff, participants, partners, and community members.
  • Ability to work independently while also collaborating effectively with the Hub Manager, Hub staff, and organizational teams.
  • Strong attention to detail, follow-through, problem-solving skills, and ability to maintain accurate administrative systems.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort learning other relevant systems and office technology.
  • Demonstrated ability to anticipate operational needs, take initiative, adapt to changing priorities, and remain calm and supportive in a busy environment.
  • Commitment to the mission, values, and philosophy of Promise Resource Network and to peer-run, recovery-oriented support.
  • Demonstrates honesty, integrity, ethical behavior, approachability, and respect for all people served by the Recovery Hub.
  • Ability to interact effectively with staff, participants, community members, vendors, partners, and stakeholders.
  • Must have a valid NC Driver’s license.
  • Canva, Case Management software, Microsoft Excel, Word, and Outlook intermediate skills.
  • Intermediate proficiency Case Management Software/Electronic Healthcare Record, Microsoft Excel, Microsoft Word, and Microsoft Outlook

Preferred Qualifications

  • Experience working in nonprofit, behavioral health, peer-support, recovery, or community-based service environments.
  • Experience supporting facility operations, front office coordination, participant-facing administrative support, or program logistics.
  • Lived experience aligned with PRN’s mission and values.
  • Experience using Canva, Adobe Express.
  • NCPSS certification eligible.

Salary: $18 – $21.50 per hour
